Merge client profiles
Learn how to merge two client profiles into a single record to remove duplicates.
How merging clients works
Caspen identifies potential duplicates when another client in your account has the same first and last name.
Merging a client's profile combines all their client's details, invoices, activities, appointments, communications, credit notes, orders, payments, refunds, progress notes, waitlist entries, assets, folders, and files into one profile. Please note this action cannot be undone.
If a client books online using details that exactly match a current profile, the system automatically merges them into one.
Merge clients
If you have two profiles for the same person with different details and want to keep the information from both, merge the profiles into one.

Open Clients, locate the primary client then click on their name or Actions → View to open their client profile.

On your client profile select Actions → Merge.

Select the client to merge with the primary: A popup will be shown that asks you to select which clients to merge into the primary client record.

Click “I understand, merge clients” to perform the merge action.
Once merged, the selected client profiles are combined into one.
