How to setup user permissions and roles in Caspen?

User permissions and roles

Go to Users -> Roles (https://app.caspen.com/roles)

Each user can be assigned a role according to the access level they need. There are five different roles to choose from:

  • Practitioner admin

  • Practitioner

  • Practice manager

  • Receptionist

  • Accountant

It is important to note that only users who have been assigned the practitioner role are eligible to be scheduled in the calendar for appointments, and they can also be included in the billing process for generating invoices.

Practitioner Admin

Is practitioner? YES

The practitioner admin typically holds the position of the owner or director of the business. Has access to all platform features, and this user cannot be disabled or locked out from the platform.

Practitioner

Is practitioner? YES

The practitioner typically is a staff member or contractor.

User Features Access

  • Manage Clients

  • Manage Patients

  • Add Remove Calendar Appointments

  • Create Invoices

  • Add Payments

Practice Manager

Is practitioner? NO

A Practice Manager typically holds a managerial role in the business, overseeing administrative tasks. This user can customise access for other users, including granting or revoking access to platform features.

Receptionist

Is practitioner? NO

A receptionist typically handles day-to-day administrative tasks. Their capabilities include customising access for other users with the receptionist role.

Accountant

Is practitioner? NO

The role of an Accountant is designed to grant accountants and bookkeepers access to financial information within your business while safeguarding sensitive client data. You can specify what aspects an accountant can access by selecting from a list of available reports and settings related to finances.
